Best certificate platforms for universities: how to choose, and who fits what

Written by one of the vendors, and it says so. Here is the framework a registrar should actually use, including where a competitor is the better answer.
Every "best certificate platform" article you will find on this topic is written by one of the platforms. Ours included.
So, the disclosure first: QRCertificates is a digital credential platform. We are one of the options described below, and we have an obvious interest in what you conclude. What follows is written so that it is useful even if you pick somebody else, because a comparison page that recommends its author for every scenario is an advertisement, and a procurement team reads it as one.
The seven questions that actually decide it
Feature lists are close to useless here, because every vendor has the same list. These are the questions that separate them.
1. Can a stranger verify without an account? Take a certificate the platform issued and open its verification link in a private window, with no login and no app. If a recruiter has to register to check a credential, they will not check it. This single test eliminates more products than any other.
2. What is actually signed? A verification code that only confirms "a record exists with this code" will happily validate a forged PDF carrying a genuine code. Ask whether the certificate's contents, recipient, programme, dates, and for a marksheet every subject row, are cryptographically signed. If only the file is signed, or only a code is looked up, tampering is not detectable.
3. Does it handle marksheets, or only certificates? Most platforms are built for single-page completion certificates. A semester marksheet is a table, it runs to more than one page, and it changes after revaluation. Ask specifically about multi-page documents, subject-row signing, and what happens when a grade is corrected.
4. What happens to the documents your national systems do not cover? In India, degrees, diplomas and marksheets belong in the National Academic Depository, surfaced to students through DigiLocker. That scope is deliberately narrow. Workshop and FDP certificates, internship and training letters, bonafide and conduct certificates, event awards and anything issued by a centre or cell fall outside it, and they are usually the larger share of what an office signs. Ask how a platform handles those, because that is where the verification email actually comes from.
5. Will the verification links still resolve in ten years? Graduates present credentials long after they leave. Ask what happens if you stop paying, and get the answer in writing. Some platforms take the verification pages down; a credential that stops being checkable was never really issued.
6. How does it connect to what you already run? Your student information system or LMS knows who completed what. Ask whether issuance can be triggered from a completion event, through an automation tool, or from a spreadsheet export. Any of the three is fine. None of the three is a problem.
7. Who can issue, and can you tell afterwards? Departments, centres and cells all issue under your institution's name. Ask whether they can be given permission without giving them everything, and whether the record shows which member of staff issued a given document. Many platforms cannot answer the second part.
Where each kind of vendor genuinely fits
Global badge platforms, Credly, Accredible and similar. Strongest when your credentials need to circulate in an international professional network, and when Open Badges interoperability matters to you. They are the established names, which carries real weight with an external assessor. Generally the most expensive option, and usually oriented toward professional certification rather than the volume of routine paperwork a university produces.
Certificate-issuing SaaS, Certifier, Sertifier, Virtualbadge and others. Good design tooling, straightforward bulk issuing, quick to start. A sensible fit for training providers and for university departments running courses and events. Look closely at question 3 if marksheets are in scope, and at question 5 if you expect credentials to outlive the contract.
University ERP suites with credentials attached, platforms that also handle admissions, fees, examinations and HR. Compelling if you are replacing several systems at once and have the appetite for that project. Worth being clear-eyed: an ERP migration is a multi-year commitment and the credential module is rarely the strongest part of the suite. If credentials are the actual problem you have today, this is a large answer to a small question.
Verification-layer platforms, including us. Built around question 2 and question 4: signing the record rather than the file, and covering the documents the national depository does not hold. The right fit when your degrees are already going to NAD and the pain is everything else your office signs. Not the right fit if you want one system to run the whole institution, or if Open Badges interoperability is your primary requirement.
When we are not the answer
Two cases, plainly.
If your requirement is international badge interoperability inside an established professional ecosystem, an Open Badges platform with that network already in place will serve you better than we will.
If you are genuinely replacing your admissions, fees and examination systems together, buy the suite. Bolting a credential layer onto systems you are about to retire is wasted effort.
How to run the evaluation
- List every document type your institution issues in a year. Not just degrees and marksheets, the whole list.
- Count the verification emails your office answered last month, split into award documents and everything else.
- Give each shortlisted vendor the same three real documents and ask them to issue and verify them.
- Open each resulting verification link on a phone, on mobile data, in a private window, with no VPN.
- Ask every vendor question 5 in writing.
- Only then compare prices.
Step 4 is the one that produces surprises. A verification page that works on the office network and fails outside it is common, and it is invisible in a sales demo.
The short version
Most universities do not have a certificate problem. They have a verification problem for the documents nobody planned for: internships, workshops, bonafide letters, event awards. Whichever platform you choose, choose it against that pile rather than against the degree, because the degree is the part already being handled.
